After-hours answering

An AI Receptionist for ServiceTitan: What It May Book, and Who Takes Over When It Should Not

It is 11:40 on an August night. The condenser on a two-story house has quit, the upstairs reads 88 degrees, and the homeowner is on your website with one thumb free and no patience. Whatever answers next decides whose truck shows up in the morning.

The short answer

An AI answering service for ServiceTitan answers calls, texts or web chat and books the job onto the dispatch board. ServiceTitan sells its own AI Virtual Agent for calls and for texts on its tracking numbers. A custom AI on your website can book through the API too, but ServiceTitan's April 2026 API terms require fixed operations, disclosure and approval, and a person still takes the hard calls.

The answering service that takes a message and goes to sleep

Most contractors already pay someone to answer after hours. Too often that someone writes the caller's name on a form, promises a callback "first thing," and emails the form at 7 a.m. to an inbox that opens at 8. By 8:05 the homeowner has booked whoever answered with a time. Our post on the five-minute rule explains why the second business to respond rarely gets the job.

AI promises to close that gap, and in fairness it can. It answers at once, at any hour, in a voice or a chat window, and it can put a real job on the board instead of a message on a pad. It can also invent a price, book a gas smell as a routine visit, or argue with a customer who only wanted a human. This page is about getting the first part without the second, on a ServiceTitan account, inside ServiceTitan's rules. The wider set of website connections lives on the ServiceTitan integration hub.

What ServiceTitan sells for after-hours answering, as of November 2026

Before anyone builds anything, look at what ServiceTitan already offers. It is more than most owners realize, and for phone calls it is often the right first move. None of these products has a published price.

Virtual Agent Inbound SMSInbound textsRoutes texts to an AI agent that books through Adaptive Capacity; limited to Max and Virtual Agent customers; not available to accounts using the ServiceTitan CRM feature
Scheduling ProWebsite and Google bookingsIts product page says customers can book online or by what it calls "agentic SMS text"
Live ServicesCalls and chat, answered by peopleOn-demand live voice and chat agents that book jobs in ServiceTitan; runs on Schedule Engine
Chat to TextA website widget that starts a text threadA beta "web conversion tool"; messages land in the Chat tab on the Call Booking screen for staff to answer

The night shift never asks for overtime. It does need a clear rule for when to wake somebody up.

Notice the gap. We found no ServiceTitan AI agent for website chat in its documentation. Calls and texts are covered by ServiceTitan's own agent; the chat window on your site, and email, are not. That gap is where a custom build earns its fee, and where the rules below start to matter.

ServiceTitan's April 2026 rulebook for AI that touches the API

ServiceTitan's API Terms of Use, last updated April 15, 2026, spell out how AI may use the API, and every vendor selling an AI receptionist for ServiceTitan has to live with them. They apply to third-party developers and to ServiceTitan customers building their own applications. Section 3.4(37) says no bot, automation or AI may "independently determine which API endpoints to access, what Content to request or modify, or what actions to take through the APIs." Calls made through an AI System "must be limited to predefined operations" within the application's certified scope.

The same clause requires you to "disclose to ServiceTitan whether your Application incorporates or relies upon any AI System," and says using one without disclosure and approval "shall constitute a material breach." Item 32 bars using API data "as input to AI that generates outputs for use by third parties or for commercial purposes." Item 31 bars training or fine-tuning AI on platform data. You can read the terms in full on ServiceTitan's site.

None of this is legal advice, and your agreement with ServiceTitan is yours to read with whoever reads contracts for you. It is, though, the reason a cheap "AI receptionist that plugs into ServiceTitan" deserves one hard question before you sign: has it been disclosed to ServiceTitan and approved, and can the vendor show you where?

The design that stays inside those lines

The rule draws a clean line between talking and acting, and we design to it. The AI converses. Ordinary code, written in advance and reviewed by a person, does the acting. The model never chooses an endpoint, never sees an API key, and never reads a customer record. Its job ends when it has filled in a short, structured request.

Answers from your own pages

Hours, service area, membership terms, financing, what a diagnostic visit includes: all of it drawn from your website's content, which is yours, not data obtained from ServiceTitan.

Triage before booking

A short set of questions that separates a dead condenser from a slow drain. Anything that sounds like a gas smell, sparking or water near a panel goes straight to a person and a phone number.

One fixed operation

When the visitor is ready, server code sends a booking through the bookings endpoint, tagged with your Booking Provider Tag. The office confirms it on the Calls screen. That is the predefined operation ServiceTitan reviews.

The source, attached

The landing page, referrer and any click ID ride along through ServiceTitan's attribution endpoints, so an after-hours booking counts in your Google Ads conversion tracking.

Email, answered

The same assistant can draft replies to the website's inbox in seconds, using the same answers and handing the same structured request to the same code.

The result is less magical than a demo video and much easier to defend. It is also exactly the API integration we would build without any AI at all, with a conversation in front of it instead of a form. If you want the form version first, the web forms guide covers it.

Handing the customer to a human without making them start over

ServiceTitan's own Voice Agent escalates to a live agent when the caller asks for one, when it detects frustration, or when the caller wants something it does not support, such as canceling an appointment. Those are the right triggers, and we use the same list on a website, plus two of our own: any safety emergency, and any request for a price the business has not published.

  1. 1

Decide who is on call, by hour and by trade

A name and a number for after-hours HVAC, another for plumbing, and what happens when neither answers. The AI can only hand off to a person who exists.

  2. 2

    Write the handoff triggers down

Asked for a person, safety words, frustration, cancellations, pricing outside the published list, commercial accounts. Each one routes somewhere specific.

  3. 3

Pass the transcript, not just the phone number

The person who takes over sees what was already asked and answered, so the customer never repeats the address.

  4. 4

Tell the customer what happens next

"A technician will call you within the next few minutes" only if that is true. Otherwise the honest version, with a time.

  5. 5

Review every unbooked conversation the next morning

The ones that went wrong teach more than the ones that booked. ServiceTitan's own agent assigns call reasons to unbooked calls for the same purpose.

Three rules shape every AI answering build we do. We describe them carefully, and we are not lawyers: your counsel decides the exact wording and what applies in your states.

  • Disclose the AI. ServiceTitan's own help center says that notifying customers they are speaking with an AI "is a legal requirement in some locations." We disclose it in the first message everywhere, which settles the question and costs nothing.
  • Be careful with recording. Call recording rules differ from state to state, and a chat transcript is a record too. Say that conversations are recorded or saved, and keep them only as long as the business needs them.
  • Get consent before texting back. The FCC treats a text sent with an autodialer as a call that needs the recipient's prior express consent, and opt-outs must be honored. Our ServiceTitan texting guide covers 10DLC registration, STOP replies and quiet hours.
  • Do not let it quote what you have not published. ServiceTitan's Voice Agent closes a booked call with a disclaimer about possible service or diagnostic fees. A website assistant should state your fees exactly as your pages do, or not at all.

Proof that we build fast answers: LeadBolt and TeamAIOps

We build AI that answers quickly because we run it ourselves. LeadBolt (leadbolt.app) is our own speed-to-lead software for contractors; it "answers every Yelp, Google, Meta, Angi, website and phone lead in under a minute, screens out the spam, and follows up until the appointment is on the calendar." TeamAIOps (teamaiops.com) is our AI employee product: it answers web chat and email in seconds and books the job. We do not present either one as a ServiceTitan integration. They are proof that we know how to make an assistant fast, polite and useful.

For ServiceTitan specifically, the proof is in our work: on Bleuwave Home Services, "an on-page assistant books straight into ServiceTitan," next to a callback form answered 24/7 by a real person. The command center we redesigned for HomeService WebApp syncs jobs and estimates both ways with ServiceTitan. Our AI agent development page covers the rest of what we build.

Which one to switch on first, and what the custom part costs

If most of your after-hours demand arrives by phone, ask ServiceTitan about its AI Virtual Agent before you ask us anything. It books with your capacity rules, it is native, and its approval question is ServiceTitan's to answer. If your website chat and inbox are where leads go quiet, that is the custom build, scoped as described above.

A website assistant added to the site you already have is quoted after a free review, starting at $575 depending on complexity, and a connection between two systems typically takes one to three weeks, per our API integrations page. Every new site package from $1,500 includes lead capture, online booking and one custom third-party API integration on the web design pricing page, and 0% financing with 25% down spreads it over up to 12 months. Questions contractors ask about ServiceTitan integration

Yes. ServiceTitan sells an AI Virtual Agent that answers phone calls, books jobs onto the dispatch board by job type, location and skill, confirms and reschedules appointments, and transfers to a live CSR when needed. Inbound texting through it is limited to Max and Virtual Agent customers. ServiceTitan publishes no price, and its help center lists the Basic Phones and Phones Pro setup as Early Access.

It can hand off a booking, within limits. ServiceTitan's API terms require AI-driven calls to be limited to predefined operations, disclosed to ServiceTitan and approved. We build the chat so the AI only converses and fixed server code sends one booking through the bookings endpoint for the office to confirm. If ServiceTitan does not approve it, the chat hands off to a person instead.

The terms, last updated April 15, 2026, say AI may not decide on its own which endpoints to call or what to change, that its calls must stay within predefined operations, that applications using AI must be disclosed to ServiceTitan, and that use without disclosure and approval is a material breach. They also bar training AI on ServiceTitan data. Read them yourself at servicetitan.com/legal/api-terms.

In some places, yes. ServiceTitan's own help center says notifying customers they are speaking with an AI is a legal requirement in some locations. We are not a law firm, so your counsel decides what applies to you. We disclose the AI at the start of every conversation we build, which is honest and removes the question.

They are DataCram's own products and our proof of fast response: LeadBolt answers leads from Yelp, Google, Meta, Angi, websites and phones in under a minute, and TeamAIOps answers web chat and email in seconds. We do not present either as a ServiceTitan integration. For ServiceTitan bookings we build the website connection described on this page.

They go to a person by a route you choose in advance: the on-call technician's phone, an answering service or a live agent. ServiceTitan's Voice Agent escalates when a caller asks for a human, sounds frustrated or asks for something unsupported. A website assistant should do the same, pass the transcript along, and tell the customer honestly when to expect the call.
