Kairos and Clio

Kairos AI Booking Widget: Website Chat That Books the Appointment

Most service-business websites can take a message. Very few can take an appointment, at 9 p.m., from someone with three other tabs open. Kairos is the chat that can, and Clio is the dashboard that proves it did.

The short answer

An AI booking widget is a chat window on your website that answers visitors' questions and books the appointment in the same conversation. Kairos, built by DataCram, answers only from your own pages, hours and published prices, books into a Google or Microsoft 365 business calendar today, with field-service connections rolling out, and hands off to a person with the transcript.

Nine at night, a dripping water heater and a form that waits until morning

A homeowner finds a slow leak under the water heater at nine at night, lands on a plumber's website, and meets a contact form that promises a reply within one business day. The form is honest. It is also the moment the homeowner opens a second tab, then a third, and books with whichever company lets them pick a time before bed.

Daytime is hardly better. The office answers the same five questions on a loop: do you serve my town, are you open Saturday, what does a diagnostic visit cost, do you work on tankless units, can someone come tomorrow. Every answer already sits somewhere on the website. Nobody reads it, because asking is faster than searching, and the person who could answer is on the other line. The form that arrived at 2 p.m. gets a call back at 8 the next morning, assuming the sticky note survives the afternoon.

A contact form is a promise to call back. A booking is a promise kept.

This section describes a fix for both problems, built by DataCram for the website a business already has: a chat window that answers from the site's own material and books the appointment in the same conversation, plus a dashboard that shows exactly what it did. The after-hours guide covers the night shift in detail, and Kairos for home services covers trade questions such as emergencies and service areas.

Kairos talks, Clio keeps the books

Kairos is the widget: a chat bubble, a Book now button, or an inline booking panel on a service page, designed to match the site's brand and placed where it helps. Clio is the dashboard behind it, a live record of every conversation and what it became. Both are agents in Athena, the content system DataCram builds its sites on, and both follow Athena's habit of naming each agent for a Greek figure with one job. Kairos is the Greek word for the right moment, the instant a visitor is ready to book. Clio is the muse of history, the keeper of the record.

Kairos answers

It is trained on your pages, services, service area, hours, policies and published prices, answers from that material and nothing else, and admits it when the answer is not there.

Kairos books

It offers only open times it can see in a Google Calendar or Microsoft 365 calendar, or in its own scheduling if you keep no calendar, and books them. Booking into ServiceTitan, Housecall Pro, Jobber and FieldEdge is rolling out.

Kairos hands off

It passes the chat to a person, full transcript attached, when the visitor asks, when the question falls outside its material, or when your rules call for a human.

Clio counts

Widget opens, conversations, contacts captured, bookings and booking rate, broken out by the page the chat began on and the ad, search or post that sent the visitor.

Clio reports back

On every plan it lists the questions your site never answers. Sending bookings to Google Ads, GA4 and Meta as conversions is rolling out to Growth and Pro plans.

A front desk that keeps the same hours as your website, which is to say all of them.

Kairos tells every visitor that they are chatting with an AI assistant; that disclosure is on by default. It is not built to handle protected health information, so medical and dental practices use it for scheduling questions only. The page on how the AI chat answers walks through each guardrail.

How a question about Saturday turns into a booked Saturday

Here is the path one conversation takes. The particulars change with each business's rules, which we set together during setup and launch.

  1. 1

    The visitor opens the widget

A bubble in the corner, a Book now button, or a panel already open on the water heater page. Clio notes the open, the page and the visit's source before anyone types.

  2. 2

    Kairos answers from your material

Open Saturday? Do you serve Converse? It replies from the hours and service area published on your site, in a sentence or two, with no guessing.

  3. 3

It asks what the job is

The questions your office would ask anyway: what is wrong, how old the unit is, whether water is on the floor. Your rules decide which answers send the chat to a person.

  4. 4

    It collects the contact details

Name, phone, email, address and job details, validated on the server before anything is saved, so a mistyped phone number is caught while the visitor is still there.

  5. 5

    It offers real openings

Only times it can see in your calendar. If nothing fits, it says so plainly and offers a callback instead.

  6. 6

    It books and confirms

The appointment lands in the calendar your team already uses, and the visitor sees it confirmed on screen. Text confirmations and reminders, sent only with consent, are rolling out to Growth and Pro plans.

  7. 7

    Clio closes the loop

The booking is credited to the page and the ad that started it. Sending it back to the ad platform as a conversion is rolling out to Growth and Pro plans.

Notice what counts as the conversion: the booking, never the chat. A conversation that ends with "thanks, I'll think about it" is still a conversation, and Clio records it as one, but it does not tell Google Ads that money changed hands. Tracking chat bookings explains why that line keeps an ad budget honest.

What custom means when every chat window looks the same size

Off-the-shelf chat tools are good products for many businesses, and our comparison with other chatbots says fairly who each suits. Kairos differs in one way that matters to a service business: we build it for one website and one set of booking rules, then keep tuning it after launch.

  • Your brand, not a vendor's. Colors, type and placement match the site, and the widget can live inside a service page as a booking panel instead of hovering over it.
  • Your material only. It learns your pages, not the open internet, so the answer about trip fees is your answer about trip fees.
  • Your booking rules. Which jobs can be booked online, how long each takes, which ones need a phone call first, and which towns you serve.
  • Your handoff rules. Emergencies, complaints and anything about money owed go to a person by email on every plan; handoff by text is rolling out to Growth and Pro.
  • Your scheduling system. A Google or Microsoft 365 business calendar today, or Kairos's own scheduling if you keep none. Connections to ServiceTitan, Housecall Pro, Jobber and FieldEdge are rolling out, each as far as its API will allow; the calendar and field-service integrations page lists the limits.
  • Every visitor's access. It is built to work by keyboard and with a screen reader, a design commitment we hold ourselves to rather than a certificate on the wall.

One build fee, three monthly plans, nothing hidden in a footnote

The build is paid once. After that, a plan runs month to month with no long contract, sized by how many conversations the site has. A conversation is one visitor's chat session, however many messages it takes.

PriceConversations a monthWhat it includes or adds
BuildFrom $575, one timeNot applicableCustom design, training on your site, one booking connection, the Clio dashboard and conversion tracking setup
Core$99 a monthUp to 500Booking into one calendar, Clio, email handoff, tuning included
Growth$199 a monthUp to 1,500Multiple booking types; texting for confirmations and handoff and conversion sync to Google Ads, GA4 and Meta (both rolling out)
Pro$349 a monthUp to 4,000Priority support; multiple locations, two-way sync with ServiceTitan, Housecall Pro or Jobber, and custom reports (all rolling out)

Past a plan's monthly cap, Kairos keeps answering every visitor and each extra conversation is billed at $0.35, the same on every plan; we tell you when the site reaches 80% and 100% of its cap. Sites that outgrow Pro, extra booking connections and unusual booking rules are quoted. DataCram bills Kairos directly. The Kairos pricing page shows how to choose a plan and how this shape compares with chat tools billed per seat or per resolution. If the website itself needs replacing, every website package from $1,500 already includes online booking, and Kairos adds the AI conversation on top. Hosting and maintenance starts at $55 a month, and every DataCram price sits on one pricing page.

Who built it: the studio behind LeadBolt and TeamAIOps

Kairos launched on November 1, 2026. It has no client results yet, and we will not dress one up. What we can show is that DataCram builds AI that answers and books. LeadBolt (leadbolt.app) is our speed-to-lead software for contractors; it answers every Yelp, Google, Meta, Angi, website and phone lead in under a minute. TeamAIOps (teamaiops.com) is our line of AI employees that answer web chat and email in seconds and book the job. Kairos is neither of them and shares none of their code. It is the website-first product, built for one client at a time, with a dashboard attached.

The rest of the proof is careful web work. For American Roofing we built an instant quote tool and a step-by-step booking flow. For HomeService WebApp we built dashboards on top of field-service data. The Bleuwave sites for HVAC, plumbing and electrical show how we build for the trades. Our AI agent development service covers custom AI work that reaches beyond a website widget.

One script tag anywhere, and a shortcut on Athena sites

Kairos installs on any website with one script tag, whether the site runs on WordPress, a page builder, or code we have never seen. On a DataCram site built with Athena, it reads the content directly and stays in step as pages change: edit the Saturday hours on the site and Kairos quotes the new hours, with no separate document for someone to remember to update.

It also works beside the other Athena agents. Clio's questions report lists what visitors ask that the site does not answer, and Athena's Prometheus agent can draft those pages for your approval. A question visitors keep typing into the chat is a sharper brief for the next service page than anything a keyword tool can produce.

Most of our clients are home service businesses, from HVAC to plumbing, and the same widget fits any local business that runs on appointments. The cheapest way to learn whether it fits yours is to let us look. Ask for a free site audit and we will show you where leads go quiet, or a free mockup if the website needs work first. Questions owners ask about Kairos

Kairos is the widget visitors see: it answers questions from your own site and books the appointment. Clio is the dashboard you see: it counts widget opens, conversations, contacts and bookings, shows which pages and ads produced them, and lists the questions your site does not answer. Every Kairos plan includes Clio. Conversion sync to Google Ads, GA4 and Meta is rolling out to Growth and Pro plans.

No. Kairos takes the repeat questions and the bookings your rules allow, so your staff spend less time reciting hours and service areas. People still take emergencies, complaints, anything about money owed and every question outside the widget's material, and they get the full transcript so the customer never repeats the story. Handoff goes by email on every plan, and handoff by text is rolling out to Growth and Pro.

Yes. It installs with one script tag on any website, including WordPress and page builders, and we design it to match the site you have. On a DataCram site built with Athena it reads the content directly and keeps up as pages change. If your site needs replacing anyway, every DataCram website package already includes online booking, and Kairos adds the AI chat on top.

Not yet. Booking into field-service software is rolling out and is not live: a one-way connection that writes the booking where each platform's API and terms allow, and a two-way sync for Pro that also reads availability and hears back when the job changes. Each platform sets its own limits. ServiceTitan, for example, requires AI applications to be disclosed and approved, and Housecall Pro opens its API only on its Max plan. Until then, Kairos books into a Google or Microsoft 365 calendar.

Not yet. Kairos launched in November 2026, and we will not publish a booking rate, a testimonial or a statistic we do not have. The proof we offer is the work behind it: LeadBolt and TeamAIOps, the AI products DataCram already runs for contractors, and the booking flows and dashboards in our case studies. Clio will show your own numbers from the first week.
