Housecall Pro Online Booking on Your Website: Keep the Modal or Build the Flow

At 7:12 on a Saturday morning a homeowner finds a puddle under the water heater. She wants a time, not a callback. Housecall Pro can give her one on your website two different ways, and the choice decides what you learn about where she came from.

The short answer

Housecall Pro online booking reaches a website two ways. Its embed code adds a Book online button that opens the booking flow in a modal window, on every plan. On the Max plan, a custom booking step can read open windows through Housecall Pro's API, create the customer and job itself, and carry the ad source with it.

Saturday, a wet floor and a button that opens a window

Most Housecall Pro shops already have the first option and may not know it. In Housecall Pro's online booking settings sits an embed code. Paste it into the website and a Book online button appears; tap it and, in Housecall Pro's words, the flow opens "on top of your website in a modal window." She picks a service, picks a time, and a job lands in your account. The same settings offer a hosted link for social profiles and email footers, and a Reserve with Google connection for your Google listing.

For a shop with one truck and a simple menu of services, that may be the whole answer, and we would tell you so. The question this page answers is narrower: when does the modal stop being enough, and what does a booking step built into your own pages actually do differently? The Housecall Pro integration hub covers the rest of the website picture, and answering first is why booking matters at all.

What Housecall Pro's booking flow already handles well

Give the built-in tool its due before replacing any of it. Housecall Pro's online booking overview, read in November 2026, describes a flow with real depth:

  • Only the services you switch on for online booking appear, in the order you choose, and pricing forms can set a price from details such as home size.
  • Scheduling can be Flexible, offering a range of slots, fixed start times, or Manual, and the earliest availability can be same day or up to a week out.
  • Arrival windows shape the times offered and show up in the customer's notifications.
  • An optional service area step screens out addresses you do not cover.
  • Payments can collect deposits or full payment at booking.
  • An Available for booking toggle picks which employees can be booked; with Auto-scheduling the job goes to the employee assigned to the service.

One tap books Saturday at nine. Whether the tap remembers which ad brought her is a separate question.

A confirmed booking creates a job. Manual booking creates an unscheduled job or estimate for the office to place. When no slot fits, a Send request option appears and creates a lead in Job Inbox under the Online Booking partner, so even a full calendar still captures the customer. That is a thoughtful design, and it is included on every plan; the pricing page lists booking on Basic.

Where the modal runs out of road

The limits show up in marketing, not in scheduling. The modal is Housecall Pro's page, sitting over yours, so it looks like Housecall Pro, asks Housecall Pro's questions, and keeps what it learns inside Housecall Pro. Here is how the two approaches compare on the things an owner who pays for ads cares about.

The ad source row is the expensive one. A tagged job tells you a booking came through a particular link; it does not tell Google Ads which click produced a paid job, so the ad account keeps buying whatever got the cheapest tap. The marketing attribution guide follows that thread to the end.

How a custom step reads Housecall Pro's calendar

On Max, Housecall Pro's API includes an endpoint named Booking Windows. Its reference says it "returns available windows to book a job or estimate for a given time range (default 7 days)," based on "the organization's Online Booking settings and actual open time slots per employee." It accepts a service, a duration in minutes, a start date, a number of days, a price form and a list of employees. Since a February 18, 2026 change, windows use the service's real duration instead of a flat 30 minutes. Here is the sequence on a site we build, with honest labels.

  1. 1.Live: offering times. When the customer reaches the time step, the server asks Booking Windows for the chosen service and shows only what comes back. Your Online Booking settings still govern which employees and hours count.
  2. 2.Live: checking again. When she presses confirm, the server asks once more, because the first answer may be a few minutes old.
  3. 3.Live: finding the customer. The server searches existing customers by phone, email and address, and creates one only when nothing matches.
  4. 4.Live: creating the job. The server creates the job for that customer and address with the chosen schedule, the lead source and a note carrying her answers.
  5. 5.Not possible: holding a slot. The reference describes no hold, so the page never claims one. When two bookings do collide, the office moves one appointment.

When the office reschedules inside Housecall Pro, the site can hear about it. Webhooks, also a Max feature, include job appointment scheduled and rescheduled events, signed with a timestamp and an HMAC signature the site verifies before trusting them. That lets the site send a fresh confirmation without anyone forwarding an email. The endpoint-level detail lives on our Housecall Pro API guide.

Full calendar, closed office: turning a visit into a request

No booking tool can conjure a technician. In July an HVAC shop may have nothing open for four days, and the worst page is one that shows an empty calendar and nothing else. Housecall Pro's own answer, Send request, is a good one. A custom step does the same thing in its own voice: it creates a lead with her preferred windows in the note, tells her plainly that the office will call to set the time, and puts the phone number above the fold for anyone who cannot wait.

Book now mode

  • Open windows shown from Booking Windows
  • A job created with the chosen time
  • Confirmation says booked, with the arrival window
  • Suits normal weeks and a calendar the office trusts

Request mode

  • No times shown, preferred windows collected instead
  • A lead created in Housecall Pro with a note
  • Confirmation promises a call, with a time frame
  • Suits heat waves, holidays and a calendar nobody updated

Booking that matches the trade on the truck

A booking step earns its keep by asking the two questions that save a wasted trip. For HVAC companies it is whether the system is cooling at all and how old it is. For plumbers it is whether water is still running and where the shutoff is, the kind of triage we built into the estimate panel on Bleuwave Plumbing. For lawn and cleaning crews it is frequency and property size. Those answers go into the job note, so the technician reads them before the doorbell.

The Bleuwave HVAC instant estimate shows the same idea from another angle: give a homeowner a real answer in seconds and the booking follows. Neither client runs Housecall Pro; both show the craft. You can also click through the booking page on our roofing demo, a demonstration site we built, to feel the customer's side. Shops on Jobber can compare our Jobber online booking page.

From first call to live booking, and the price

  1. 1

    Decide modal or custom

In a free review we look at your plan, services and ad spend. If the modal fits, we place it well and stop there.

  2. 2

    Create the key

On Max, your Admin generates a Full access key in My Apps. It goes into the server settings, never into page code.

  3. 3

    Agree the booking rules

Services, durations, questions per trade, the request fallback and the confirmation wording, written down before code.

  4. 4

Build and test in your account

Housecall Pro describes no sandbox, so test bookings run in your account under a test lead source and are cleaned up the same day.

  5. 5

    Launch with a log

Every booking is logged with its Housecall Pro job ID. A failed write is queued, retried and reported to a person.

Online booking is included in every new site package, from $1,500 for up to 10 pages to the recommended $5,750 for 51 to 70 pages, on our web design pricing page. With 0% financing, the $5,750 site is $1,437.50 down and $359.38 a month for twelve months. Adding a custom booking step to your current site starts at $575, depending on complexity, and our API integrations work typically goes live the same day for a two-system connection. Questions contractors ask about Housecall Pro integration

As of November 2026, Housecall Pro's pricing page lists online booking, letting customers book and pay online around the clock, on the Basic plan, so it is on all three plans. The custom route that reads open windows through the API is different: the API is available only on Max, per Housecall Pro's help center.

The button itself adds no readable content for search engines, because the booking flow opens in Housecall Pro's modal. The bigger SEO question is the page around it: service and town pages written to rank, fast enough to keep the visitor. We place the button on pages built for search rather than only in the header.

Yes. Housecall Pro's Booking Windows endpoint can filter by service, which limits availability to pros assigned to that service, and by a list of employee IDs. Your Online Booking settings still apply, including which employees are available for booking, so the website never offers someone the office has switched off.

The site reads open windows again at the moment of confirming, which catches most collisions. Housecall Pro's reference describes no way to hold a slot, so a narrow gap remains. If it happens, the office moves one appointment in Housecall Pro, and a rescheduled webhook lets the site send that customer the new time.

With the native modal, partly: Housecall Pro lets you add tracking attributes to booking links, which tag the resulting job with a Job Tag. A custom step on Max can store UTM tags and the Google click ID with the lead source and notes, which is what reporting paid jobs back to Google Ads requires.

Placing Housecall Pro's own Book online embed well is part of any site we build. A custom booking step on an existing site starts at $575, depending on complexity, quoted after a free review. New sites start at $1,500 with booking included, with 0% financing available. Housecall Pro bills its own plan separately.
