Housecall Pro Lead Forms That Ask Less and File More
A form that asks seven questions and requires all seven is a form most people finish on a slow day only. Housecall Pro's own Lead Form works that way by design. Here is when to use it, and what a custom form does instead.

The short answer
Website leads reach Housecall Pro three ways. Its Lead Form embeds on any site and creates a lead in Job Inbox, though every field you add becomes required. The Zapier app can create only customers. On the Max plan, a custom form can create the lead through the API, match an existing customer first, and set the lead source, tags and notes.

Seven required questions and a visitor with one free thumb
She is holding a toddler in one arm and a phone in the other, and the kitchen sink is backing up. Your form wants her last name, her email, her full address, a service type, how she heard about you, how often she needs service, and an answer to a custom question about the age of the home. Every one is required. She closes the tab and calls the plumber whose form wanted a name, a phone number and a sentence.
That form is not a strawman. Housecall Pro's Lead Form, which it describes as a way to "capture leads from your website," lets you toggle on Last name, Email, Address, Service Details, How did you hear about us?, Frequency and a Custom question, and its help article says "any fields added to your Lead Form will be required." It is a good, free tool with one design choice that costs small shops leads. This page sets it beside the other two routes. The Housecall Pro integration hub shows how forms fit with booking and reporting.
Three roads from a web form into Housecall Pro
The native Lead Form
Configured under Settings > Leads and embedded with a Copy code button. A submission creates a lead that shows in Job Inbox and in Pipeline under New Lead, and you get a text about it. If Job Inbox is off, the lead does not reach Job Inbox. Styling is limited to editing the text.
Zapier
Housecall Pro's Zapier app lists two triggers, a completed job and a scheduled job, and one action: Create Customer. A zap can add a customer from a form, but it cannot create a lead or a job, so the request itself still needs a person.
A custom form on Max
Your site's server talks to the API with a key your Admin creates. It searches for the customer, creates the lead with a source, tags and a note, and logs the result. This is the route we build when forms have to carry ad data.
A note on Zapier plans: Housecall Pro's pricing page ties Zapier to Max, while its Zapier help article names Essentials too. The pages disagree, so ask Housecall Pro before you plan around it. Either way, the single Create Customer action is the real limit.

Where each answer on the form ends up in Housecall Pro
A custom form starts with a field map, agreed before anyone writes code. These are the fields Housecall Pro's v1 API reference lists on Create Lead and Create Customer, as of November 2026. A lead takes either an existing customer's ID or a new customer's details, so the site decides which after searching.
| Form asks | Lands in Housecall Pro as | Notes |
|---|---|---|
| First and last name | Customer first_name and last_name | Split from a single name box on the server |
| Mobile phone | Customer mobile_number | Normalized on the server before the customer search |
| Customer email | Optional on most trade forms | |
| Service address | Lead address, or a customer address | City, state, street, second line and ZIP |
| Which page and ad | Lead lead_source and tags | Set by the site from the visit, never asked of the customer |
| Problem description and trade questions | Lead note | Answers formatted as short lines the tech can scan |
| Who should take it | assigned_employee_id | Optional; most shops leave assignment to the office |
| Wants job notifications | Customer notifications_enabled | Set only with the visitor's agreement |
One difference from some field platforms is useful: Housecall Pro's API can create a lead source, not just use one. We still agree the list with you first, because a website that invents a new source for every campaign turns your lead source report into a phone book. The attribution guide covers naming.
Duplicates, spam and the request that must never vanish
A form connection fails in boring ways, so we design for the boring ways first. Here is what happens on our server between the visitor pressing send and the lead appearing in Job Inbox.
- 1
Check the request
Required fields, a real phone number, a service area check and spam screening run on the server. Bots that sail past a browser check meet a second one; we wrote about why WordPress forms get spammed.
- 2
Search before creating
Housecall Pro's customer search matches on name, email, mobile number and address. A match means the lead attaches to the existing customer instead of making a twin.
- 3
Create the lead
One call creates the lead with its source, tags and note. The site stores the Housecall Pro lead ID next to its own record.
- 4
Retry without doubling
If Housecall Pro does not answer, the request waits in a queue and tries again. Writes are idempotent, so a retry never files the same customer twice.
- 5
Tell a human when it matters
Anything that still fails after retries goes to a named person with the full request attached. A lead is late sometimes; it is never lost.
Six forms worth building for a Housecall Pro shop
Most small shops need fewer forms than they think, each with fewer questions. These are the ones we see earn their place, with the extra questions that belong on each.
- Emergency service request. Name, phone, address and one line about the problem, with the phone number in large type above it. Tagged so the office sees it first.
- Estimate request. For replacements and installs: the system or fixture, its rough age, and a preferred day for a visit.
- Recurring service quote. For cleaning, lawn and pest crews: frequency and property size, the two answers that set the price.
- Maintenance plan interest. For HVAC and plumbing memberships: which equipment and how many units.
- Commercial or property manager request. Company name, number of sites and a contact role, tagged for the owner.
- General contact. The catch-all, short, for the visitor who does not fit a box.
For trade-specific page design, see our notes on plumbing websites, house cleaning websites and landscaping websites. The Bleuwave Plumbing case study shows a triage form that diagnoses the problem for a homeowner who cannot name it; that client runs ServiceTitan, not Housecall Pro, but the form design carries over.
After the form: hearing back from Housecall Pro
A lead created is half the loop. On Max, Housecall Pro's webhooks send lead created, updated, converted, lost and deleted events, each signed so the site can verify it came from Housecall Pro. When a lead converts to a job, the site knows the form produced work. When it is marked lost, the site knows that too. That is the raw material for an honest report on which forms and pages earn their keep.
Speed is the other half. Housecall Pro texts you about each Lead Form submission. If you want the customer to get a text within the minute, note that Housecall Pro's API has no endpoint for sending one, so a website text-back runs through your own messaging provider with consent captured on the form. Our own LeadBolt software answers web and phone leads in under a minute; it is proof of how we build fast response, not a Housecall Pro integration. Shops on Jobber can compare the Jobber lead forms page.
What a connected form costs and how the work runs
Lead form capture and one custom third-party API integration are included in every new site package, from $1,500 for up to 10 pages to $5,750 for the recommended 51 to 70 pages, per our web design pricing. Connecting the forms on a site you already have starts at $575, depending on complexity, and is quoted after a free review; our API integrations service says a typical two-system connection goes live the same day.
Spread a new site over twelve months with 0% website financing at 25% down. After launch, hosting and maintenance from $55 a month keeps the forms watched; Argus, an agent in our Athena CMS, flags a form that stops submitting. Questions contractors ask about Housecall Pro integration
Not according to Housecall Pro's help article, which says any fields added to your Lead Form will be required. You choose which fields to switch on, so the practical workaround is to add fewer. A custom form on the Max plan can make any field optional and still create the lead through the API.
A submission creates a lead in Housecall Pro. It appears in Job Inbox and in Pipeline under the New Lead column, and you receive a text notification. Housecall Pro notes that if Job Inbox is not enabled, Lead Form submissions will not be received there, so check that setting first.
Not with Housecall Pro's own Zapier app. Its listing shows one action, Create Customer, and two triggers for scheduled and completed jobs. A zap can add the customer, but the lead or job still needs a person or the API, which Housecall Pro offers on Max.
Not the way we build it. The server first searches Housecall Pro's customers by phone, email, name and address, and attaches the lead to a match when one exists. Each request also carries an idempotency check, so a retry after a timeout cannot file the same person twice.
The Create Lead call in Housecall Pro's reference has no attachment field, while jobs do have an add-attachment endpoint. For leads, we keep photos in the site's own storage and put a private link in the lead note, or attach them once the lead becomes a job. We confirm the approach with you during the field map.
